Description and scope of data processing

Communication by contact form

Our website offers various contact forms which can be used to contact us electronically. The data you enter in the input form is transmitted to us and processed. The data is used exclusively to process your enquiry.

Option 1: General enquiry

  • Title
  • Email address

You may optionally provide:

  • Content of the message
  • Booking number
  • Telephone number
  • Company

Option 2: Damage report

To submit a damage report for processing we need information

  • on the person
  • on the booking
  • on the replacement
  • on the details of the damage
  • as well as various documents
    • local rental agreement
    • landlord’s damage report
    • proof of payment
    • police report if applicable

Mandatory fields which are required for processing are marked in the form with *.

Option 3: Complaint

To submit a complaint for processing we need information

  • on the person
  • on the booking
  • on the replacement
  • on your experiences, the reason for the complaint
  • We may also require various documents in connection with rental of the vehicle, e.g.
    • Rental agreement
    • Credit card statement
    • Images

When you submit messages via the contact form the following data is also stored:

  • Web server log file

Communication by email

Alternatively, you have the option to contact us via the email address provided. In this case, the user’s personal data transmitted with the email will be stored.

  • Email address
  • Content of the message
  • Signature if required with
    • First and last name
    • Address
    • Telephone number
    • Company

The following data is also stored when you submit the message:

  • The date and time when it was sent
  • Message ID and transmitting mail server

Please note: Communication by email may be subject to security loopholes. For example, emails may be stopped and viewed by unauthorised persons during online transmission. If we receive an email from you, we assume that we are entitled to answer you by email. Otherwise we must explicitly refer you to another means of communication.

Legal basis for data processing

Dependent on the content, the legal basis for the processing of data that is transmitted when sending a “general enquiry” or an email may be Article 6(1)(b) GDPR or Article 6(1)(f) GDPR.

Processing damage report and complaint data helps us to fulfil the contract and is based on Article 6(1)(b) GDPR.

Purpose of data processing

We process the personal data transmitted solely in order to process your enquiry. This also constitutes the required legitimate interest in the processing of the data.

The other personal data processed during submission is used to prevent misuse of the contact form and ensure the security of our IT systems.

Duration of storage

The data entered in the various contact forms is deleted, depending on the purpose, provided that there are no legal considerations (retention periods, traceability) which prevent this.

Right to object and right to rectification

You have the possibility of withdrawing your consent to the processing and storage your personal data at any time. Depending on the legal basis of processing for the various contact options, the data will be deleted or blocked if it is not necessary to continue using the data entered and no legal consideration (retention periods, traceability) prevents this.
